Friends of the Boundary Waters Wilderness

REPORTS TO: Executive Director
LOCATION: Saint Paul, MN


Friends of the Boundary Waters Wilderness is seeking a full-time Executive Assistant to provide support to our Executive Director. This position will be responsible for executive support services that include, but are not limited to, managing calendars, preparing expense reports, drafting electronic and other communications, and organizing files. This position will provide support to the Board of Directors and handle organizing and logistics for meetings. This role contributes to the efficiency and success of our organization and mission by providing personalized and timely support to the Executive Director. This position will have access to all correspondence and files of the Executive Director, requiring the person in this role to have the highest integrity.

Primary Relationships

  • The Executive Assistant will report directly to the Executive Director
  • Works effectively with all other departments within the Friends and with the Board of Directors


  • Provide executive support services to the Executive Director, including assisting with email and other correspondence, filing, mailing, expense reports, and other tasks as needed
  • Managing the Executive Director’s calendar, including making appointments and prioritizing
  • Coordinating travel arrangements for the Executive Director
  • Organize meetings, including scheduling and organizing catering or other logistics when necessary
  • Assist the Executive Director in creating and distributing Board meeting materials, including materials for the annual Board Retreat
  • Record and maintain Board of Directors meeting and committee meeting minutes
  • Greet and assist office visitors
  • Ensure an organized, clean, and welcoming office environment
  • Maintain inventory of and order office supplies
  • Manage office equipment including printer, postage meter and phone system
  • Maintain electronic and physical filing systems
  • Collect and sort incoming mail and accept deliveries


  • 3-5 years of experience in an administrative or executive assistant role
  • Excellent organizational skills
  • Strong written and verbal communication skills
  • Ability to maintain confidentiality and practice discretion when given access to sensitive information
  • Excellent time management skills and an ability to multi-task and prioritize work
  • Attention to detail
  • Good judgment and problem solving skills
  • Ability to work independently and as part of a team
  • Passion for preserving the Boundary Waters Canoe Area Wilderness and its ecosystem

Compensation and Benefits

  • $50,000 – $57,000 per year salary
  • Paid vacation and sick leave, health insurance, and a 403(b) retirement plan
  • In addition to paid vacation and sick leave, the Friends provides a $600 stipend and five additional paid vacation days to each employee to take time off and recharge in the wilderness.
