POSITION OVERVIEW

The Data and Administrative Assistant role is a permanent position and will work directly with the Human Relations and Operations Manager to support MN350’s staff, active volunteer leadership and membership in building power in community along with Minnesotans working to repair our public processes and treaty promises in order to transform our dominant economy to one that secures clean air, clean water, a stable climate and equitable future for all, first and foremost to communities most harmed.

KEY INDIVIDUAL RESPONSIBILITIES

Development Responsibilities

Provide fundraising support:

  • Attend weekly Development team calls

  • Track grant application process, deadlines and communications from funders

  • Track grant reporting process and deadlines including collecting program and accounting data from relevant staff 

  • Assist in benchmarking and analyzing fundraising performance, and develop strategies for effective fundraising

  • Manage individual donor relationships including sending thank you notes and monitoring and making recommendations to improve our donor gratitude processes.

  • Researching opportunities for grants that align with MN350’s mission and campaigns

  • Writing grant applications and reports; editing grant applications and reports

  • Routing grant applications and reports to other staff and monitoring progress to ensure timely completion

  • Submitting grant applications and reports through appropriate funder portals

  • Producing monthly and quarterly fundraising performance reports and analyzing results to arrive at recommendations for changes to our fundraising campaigns

  • Coordinating with the Staff Account to ensure accurate monitoring of budget

Data Responsibilities

Own complete data management responsibilities in the organization including but not limiting to

  • Keep event and contact data synchronized with MN350’s EveryAction database. 

  • Keep contribution data up to date in MN350’s EveryAction database and ensure our EveryAction data matches our Quickbooks data

  • Respond to donor requests to change contributions in EveryAction

  • Support organizing staff by pulling lists, reports and data as required 

  • Develop and maintain expertise in EveryAction and answer questions from staff about EveryAction functionality

Administrative Responsibilities

Serve as a point of contact for the organization including but not limited to:

  • Field and respond appropriately to incoming emails, letters, phone calls and social media messages, answering when possible and routing to other staff when necessary. 

  • Receive staff requests and forward them to the appropriate individuals

  • Support legal compliance and risk management by tracking insurance coverage, execution of contracts and memorandum of understanding, etc

  • Assist in audit preparation, budget process and other administrative processes as required serve as the liaison between the executive teams – Development, Finance and Administrative Leadership Team (ALT) – including pulling reports and presenting data as required

  • Work with Political Manager to prepare necessary lobbying and Campaign Finance Board reports

  • Oversee general office and inventory management

  • Oversee collaborative process to develop Covid protocols as necessary and monitor compliance

KEY SHARED RESPONSIBILITIES AS A STAFF MEMBER

  • Leadership Development & Culture: Support development, implementation, and evaluation of internal training, leadership development, and cultural practices organization wide. Including modeling organizational embodiment of shared values, principles, and practices.

  • Strategic Direction: Engage in, give feedback and collaboratively shape leadership structures and fundraising strategies to sustain the organization as requested by staff leadership

  • Fundraising: Support the stewardship of donors by making thank you calls as requested by staff leadership

PHYSICAL DEMANDS & WORKING ENVIRONMENT

Currently work is performed at home until a reduction in COVID-19 cases or a vaccine is widely available. Once either occurs, as indicated by the Executive team, work is performed in a standard indoor office environment. Flexibility is needed to work outside normal business hours, including evenings and weekends and occasional extended work hours to accomplish the mission of the organization.
